What is Sample Requests?
Sample Requests is the inbox for free-sample asks that need your team. Open Stores > Shopify > Sample Requests.
Requests here come from:
Ambassador program signup samples
Sample Programs (shareable links)
Campaign Shopify free samples
Gifts and Creator Codes do not appear here. Gifts wait on the Gifts tab until the creator claims. Creator Codes are redeemed at checkout.
Finding a request
Go to Stores > Shopify > Sample Requests.
Search by creator, product, or ID.
Filter by status, product, workflow, campaign (including Sample Programs), and date.
Each row shows the creator, product, source (which program or campaign), Shopify order ID once it exists, shipping address, and sample status.
Statuses
Status | Meaning |
Pending | Waiting on you. Approve or reject. |
Awaiting shipment | Approved. Shopify order exists and is not fulfilled yet. |
Shipped | Shopify shows the order in transit or fulfilled with tracking. |
Content pending | The box is on the way or delivered; you are still waiting on posted content if you track that. |
Completed | Finished from Growi's point of view. |
Cancelled | Rejected, or the creator cancelled. |
How to approve
Select one or more Pending requests. Selecting several for the same creator ships them together as a single Shopify order.
Click Approve.
Choose how to fulfill:
Option | What it does |
Approve on Shopify | Creates a $0 / 100%-off order (or draft order) in your Shopify store for your team to fulfill. |
Approve internally (send email) | Marks the request approved and emails the creator. No Shopify order is created. Use this if you ship from a 3PL, warehouse tool, or spreadsheet outside Shopify. |
If the requested variant is low stock, you can approve a different campaign product instead. Growi emails the creator that the original was swapped.
How to reject
Select pending requests and click Reject. Nothing is created in Shopify. Status becomes Cancelled.
Auto-approve
If the ambassador program, Sample Program, or campaign is set to Auto-approve, Growi skips this inbox for new requests and creates the Shopify order as soon as the creator submits. Those rows still appear here so you can see order ID, address, and shipment status.
FAQs
The Shopify order is missing.
Confirm you chose Approve on Shopify, the store is still connected, and the product is active with inventory. Failed order creation usually shows an error on the request; reconnect the Growi Shopify app if scopes expired.
Status is stuck on Awaiting shipment.
Fulfill the order in Shopify. Growi reads fulfillment from Shopify (webhooks plus a backup poll). Tracking such as in transit or delivered updates Shipped / received from that data.
Can I approve requests from different creators together?
Bulk approve is meant for several pending requests that belong to the same creator, so they ship as one order. Approve other creators separately.
